Why a 24-Email Batch Triggered a Gmail Lockout

An agent in the Follow Up Boss Success Community recently experienced a frustrating issue: after sending a batch email with a Google Drive link, most recipients flagged it as spam and Gmail temporarily locked the account for hitting the daily sending limit. In this post, I break down why this can happen, how email routing (SMTP vs. SendGrid) plays a role, and why properly configuring Email Domain Authentication inside FUB is critical. I also share best practices to reduce spam risk in both batch and 1:1 emails.

Why a 24-Email Batch Triggered a Gmail Lockout

Recently, an agent in the Follow Up Boss Success Community shared a concern about a batch email she sent to 24 recipients through FUB. The email included a Google Drive link (since attachments aren’t supported in batch emails), and shortly after sending it, most of the emails were flagged as spam. On top of that, she was locked out of Gmail with a "daily sending limit reached" error - even though she had only sent 24 emails.

Here’s how I responded:

I explained that Google Drive links included in emails sent from FUB can sometimes trigger spam filters - especially when those emails are routed through an SMTP server.

However, in this case, she mentioned sending the message as a Batch Email. Batch emails in FUB are typically routed through SendGrid infrastructure rather than an SMTP server, which generally prevents this type of issue.

Given the outcome, it’s likely that her email server wasn’t properly configured with FUB’s infrastructure. When domain authentication isn’t completed correctly, the system may default to using an SMTP server as a fallback. That fallback routing can increase the chances of spam filtering and potentially trigger sending limit errors.

My recommendation was to go to Admin Panel > Email Domain Authentication and complete the domain authentication steps there.

I also added that, as a best practice, it’s still wise to avoid Google Drive links in 1:1 emails sent from FUB whenever possible, since they can increase the risk of spam filtering depending on the recipient’s email security settings.
